Job Description
One of our clients is looking for a Tendering and Contracts Executive to join their team.
Responsibilities
- Prepare tender documents using standardized company templates and paperwork.
- Oversee the compilation and drafting of high-quality proposals, bids, and tender responses to ensure professional, timely, and compliant submissions.
- Maintain a list of eligible vendors, especially for upcoming bids.
- Prepare estimates for specific tenders for internal approvals.
- Compile diverse inputs to create more competitive bid documents.
- Check on evaluation and contract negotiation processes.
- Monitor deadlines and facilitate timely submissions.
- Compile and maintain internal procurement documents related to the tendering process, including tracking management approvals for tendering and contracting actions.
- Communicate with clients regarding tender criteria and statuses.
- Communicate with vendors during the tender process, including handling non-disclosure agreements, confirmations of interest, and similar tasks.
- Coordinate and communicate with finance, operations, and other departments at every tendering stage.
- Maintain tender files and arrange for archiving upon completion of the tender.
- Prepare status reports and projected timelines for tenders.
- Manage and coordinate the efforts of all relevant departments related to tendering/bidding activities and contract review.
Requirements
- Experience in a similar or related role.
- Proficiency in English and Maltese.
- Proficiency in software applications, particularly Excel and Word.
- Comfortable working within tight deadlines.
- Excellent planning and organizational skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail and a high level of confidentiality and professionalism.
